Building Operations
 

Supplying a peace of mind to our Owners knowing that someone is available at all times to answer their concerns, manage repairs and respond to maintenance emergencies is what our Building Operations Management service provides.  

  • Supervise the maintenance of the general physical upkeep of the building

  • Respond to resident requests, concerns and complaints

Financial Management
 

Processes are streamlined, requests are easily tracked, and all records are transparent. Implementing these technological tools substantially increases the productivity of all personnel.  Our Financial Management handles:
 

  • Collection of common charges, rents,  fees, assessments, and other charges

  • Bill & common element payments

  • Bill & vendor document filing

  • Delinquent account management

  • Building income & expense monthly reports

Notice of Expenses 

ETPM Makes every attempt to ensure the safety of the buildings we manage while saving the association time and unnecessary expenses.  Any foreseeable expenses exceeding $1,500 will require board review and approval.  Expenses that may be billable above $500 without obtaining approval usually include emergency service invoices received by vendors post repair. In those cases, those invoices are usually nonnegotiable and must be paid accordingly.

  • Dedicated building porter

Business Services Manager

  • Monthly Management Fee

    • SEE CONTRACT PAGE

      • Charged to the association

      • Billed on the 25th of the month for the upcoming  month

      • Includes all services listed as  Building Operations, Financial Management, Owner Services and Building Maintenance unless the contract expressly states that the services are not included

 

  • New Account Set-Up - Building

    • $250/$500/$20 per unit + $50 for Remote Check Printing Service

      • Charged to the association 

      • One time administrative fee 

      • Creates the buildings’ owner/tenant accounts, owners' online payment systems, bank reconciliation account, task management system, filing system, reporting systems, financial accounts, and updates all billing details. 

      • Initial review of all service contracts to ensure the building is meeting requirements

      • Deluxe Payment Exchange - eCheck system allows us to issue e-payments to non-utility vendor

  • Supplies Maintenance

    • $50-$300

      • Charged to the association/property owner

      • To be determined once we can evaluate your monthly supply usage

      • Charged as needed

 

  • Snow Removal [last edited 7-12-2021]

    • $100.00+ per visit

      • Snow removal and salt application visits as called for

 

  • Emergency or Unscheduled Site Visits

    • $150.00 per visit

      • Charged to the association/unit owner

      • Covers a property manager emergency site visit during off hours or weekends

      • Covers a property manager unscheduled site visit that occurs outside the routine & scheduled site inspections

  • Business Services Manager

    • $$ various

      • Tax Filing - $500-$2,000

      • Bookkeeping - additional $1,200

      • CPA Financial Statements - additional $1,300

  • Rental/Lease Application

    • ONE MONTH’S RENT

      • Charged to the approved tenant where ETBK Real Estate is the listing agency

      • Covers standard brokers’ fees, management application fee, document management, one credit check, new tenant account,  move in/move out inspections
         

  • Rental Tenant Application

    • $175 per tenant on the lease

      • Charged to the approved tenant [s] where  ETBK Real Estate is NOT the listing agency

      • To be paid with submission of the rental application

      • Covers document management, one credit check, new tenant account,  move in/move out inspections

 

  • Refinance & Sales Application

    • $250/$500/$750

      • Charged to the owner/buyer

      • To be paid with submission of the buyer application

      • Covers management application fee, document management, query management,  one lender application,
        one credit check, new owner account,  move in/move out inspections, board notification, board interview coordination where applicable

      • Fee is subject to change based on the complexity of the application

 

  • Move-In & Move-Out Deposit - Refundable

    • $500

      • Charged to the new unit owner and the outgoing unit owner

      • Paid at closing,  payable to the association

 

  • Renovation Management - Individual Units

    • $150 each site inspection

      • These inspections are to ensure contractors and vendors are meeting NYS building codes, association rules, and general safety practices. ALL owners implementing renovations are required to complete an alteration agreement. Whether or not unit specific renovation inspections  will be mandatory will be at a vote of the board. Should the board decide they do not want to implement mandatory renovation inspections, then a waiver will be signed to remove ETPM from all oversight liability.

      • Charged to the unit owner

      • Paid per inspection, once an alteration agreement has been completed and all documentation has been uploaded by the unit owner & contractor per the instructions HERE

 

  • Project Management - Building Capital Improvement

    • $Included/$150

      • These inspections are to ensure contractors and vendors are meeting NYS building codes, association rules, and general safety practices. ALL building capital improvements will require the contractor/vendors to complete an alteration agreement per the instructions HERE

      • First mandatory building inspection will be performed at no cost 

      • Charged to the association

      • Paid per inspection
